Administrative Coordinator

Leonard Workforce Solutions is recruiting an Administrative Coordinator (General Administration) for our client, designBLD in Exeter, PA.

This is a full-time, ON-SITE position, which offers a very competitive compensation package (salary + benefits).

Key Responsibilities

  • Support project managers, leadership and other staff with scheduling, meeting coordination, meeting minutes, day-to-day administrative tasks, email management and task completion / management

  • Prepare agendas, meeting notes, reports, project trackers and project documentation

  • Organize digital files, contracts, and project records; manage communication with clients, vendors, and internal teams

  • Maintain project tracking systems and deadlines; help keep projects on schedule through follow-up

  • Assist with proposals, document formatting, and quality control

  • Support project kickoff, milestone tracking, and closeout

  • Help develop workflows, checklists, and SOPs; assist with rolling out new software, AI tools, and automation

  • Other duties as assigned

Qualifications

  • Strong organizational, multitasking, and deadline-management skills

  • Proficiency in Microsoft Office (Word, Excel, Outlook) and Bluebeam; Smartsheet experience a plus

  • Comfortable learning new software and AI-based tools, with genuine interest in process improvement

  • Excellent communication skills; team-oriented, proactive mindset

  • Prior admin, office management, or project coordination experience preferred
