Production Support Associate

Leonard Workforce Solutions is recruiting a Production Support Associate for our client, Sticky Smart Wallet in Carbondale, PA.

This is a full-time, ON-SITE position. There is the potential for a HYBRID work schedule in the future. Typical hours are M-F, 8:00am - 4:30pm.

Sticky Smart Wallet (www.StickyPromotions.com / www.TheStickySmartWallet.com) is an online promotional products company specializing in custom creation, decoration, and sourcing. We are currently seeking an experienced Production Support Associate to join our team.

The Production Support Associate role sits between sales, suppliers, logistics, artwork, and operations to keep orders moving accurately and on time.  This role often becomes the “air traffic controller” of the business.

A strong Production Support Associate can:

  • reduce missed deadlines,

  • reduce costly mistakes,

  • improve supplier accountability,

  • free up leadership from constant order tracking,

  • and dramatically improve scalability.

The ideal candidate will possess the following skills/abilities: strong organization, attention to detail, Excel/Google Sheets, Email management, PO/order management, and ability to multitask under deadlines.

Purpose of the Role:

Support the production process from approved quote/order through delivery by coordinating vendors, tracking timelines, handling artwork/details, and solving issues before they affect the client.

TYPICAL RESPONSIBILITIES:

 Order Processing & Production Coordination

  • Enter and manage purchase orders

  • Review sales orders for accuracy

  • Send RFQs and production details to factories/suppliers

  • Confirm pricing, quantities, timelines, and packaging

  • Track production status from factory approval to shipment

  • Follow up on delayed orders

Artwork & Proof Management

  • Coordinate digital proofs/mockups

  • Verify artwork files meet production requirements

  • Ensure logo placement, sizing, colors, and imprint methods are correct

  • Route proofs internally or to customers for approval

  • Maintain approval records

Vendor & Factory Communication

  • Communicate daily with overseas and domestic suppliers

  • Request updates on production timelines

  • Resolve production questions

  • Escalate quality or timing concerns

  • Coordinate revisions when customer changes occur

Shipping & Logistics Support

  • Track inbound and outbound shipments

  • Coordinate air/ocean/express shipping options

  • Monitor deadlines for events and in-hands dates

  • Work with freight forwarders and customs brokers

  • Verify shipping addresses and carton counts

Compliance & Product Accuracy

  • Collecting CPSIA/GCC/testing documents

  • Verifying age grading or labeling requirements

  • Ensuring tracking labels/warnings are correct

  • Maintaining compliance files for customers

Customer & Internal Communication

  • Provide status updates to sales reps/account managers

  • Notify teams of delays or issues

  • Help answer production-related customer questions

  • Coordinate between sales, design, accounting, and logistics

Administrative Duties

  • Maintain spreadsheets/ERP/CRM data

  • Upload proofs and approvals

  • Organize order documentation

  • Track production schedules

  • Update computer/software systems

  1. Check overnight factory updates

  2. Follow up on delayed proofs

  3. Send revised PO to supplier

  4. Confirm Pantone color match

  5. Track air shipment ETA

  6. Upload GCC documents

  7. Update customer deadline tracker

  8. Coordinate replacement for damaged shipment

Compensation:

  • Starting salary range of $55,000 - $70,000/yr. DOQ + supplemental bonus pay
